Health and Safety Policy

1. Policy Statement
Outpost Management is committed to ensuring, so far as is reasonably practicable, the health, safety, and welfare of our employees, residents, contractors, visitors, and the public who may be affected by our operations.
We will manage our properties and associated services in a manner that safeguards life, property, and wellbeing, and that complies with all relevant UK legislation, including the Health and Safety at Work etc. Act 1974, the Regulatory Reform (Fire Safety) Order 2005, and the Building Safety Act 2022.

2. Our Objectives
We will:
• Prevent accidents, work-related ill health, and unsafe conditions.
• Provide safe, well-maintained buildings and amenities for residents and staff.
• Ensure all employees and contractors are competent, trained, and aware of their responsibilities.
• Engage residents and third parties in maintaining safe environments.
• Continually review, assess and improve our health and safety management system.

3. Responsibilities
3.1 The Board / Senior Management
• Provide strategic leadership for health and safety across all BTR assets.
• Allocate sufficient resources for implementation and monitoring.
• Review performance annually and ensure compliance with UK H&S legislation.

3.2 Health and Safety Lead / Property Manager
• Implement this policy at all levels.
• Conduct and maintain risk assessments, including for fire, legionella, asbestos, and workplace safety.
• Report incidents, near misses, and actions through the company’s H&S management system.
• Liaise with residents and contractors regarding on-site safety requirements.
• Ensure continual compliance with the Building Safety Act and it’s relevant requirements.

3.3 Employees
• Take reasonable care of their own health and safety and that of others.
• Follow all safe systems of work and training provided.
• Report hazards, accidents, and unsafe conditions immediately.

3.4 Contractors and Suppliers
• Must comply with Outpost Management’s Health and Safety Policy, site rules, and UK legal requirements.
• Provide risk assessments and method statements (RAMS) before commencing work.

4. Arrangements
4.1 Risk Assessments
Comprehensive risk assessments will be undertaken and reviewed at least annually or after significant change. Focus areas include:
• Fire safety
• Working at height
• Manual handling
• Electrical and gas safety
• Water hygiene and legionella control
• Asbestos management
• Lone working and out-of-hours procedures

4.2 Fire Safety
• A competent person will carry out a Fire Risk Assessment for each building.
• Fire detection, alarm systems, and evacuation procedures will be maintained and tested regularly.
• Residents will receive clear fire safety instructions upon move-in.

4.3 Accident and Incident Reporting
• All incidents, near misses, and occupational health cases will be recorded and investigated.
• RIDDOR reporting will be completed as required by law.
• Lessons learned will inform future risk management.

4.4 Training and Competence
• Induction and refresher training will be provided to all staff.
• Contractors must provide proof of competence (e.g., CHAS, SafeContractor, or equivalent).
• Fire marshal and first aid training will be maintained across all sites, provided as part of the onboarding process, and reviewed annually.

4.5 Resident and Visitor Safety
• Residents are encouraged to report maintenance or safety concerns via the resident app, LOFT, to the management team, or through email channels.
• Signage and safety notices will be displayed in communal areas.
• Regular building inspections will ensure communal areas remain hazard-free.

4.6 Welfare and Wellbeing
• The company promotes physical and mental wellbeing for all staff through access to support programmes, supported by our employee wellbeing platform, Mintago.
• This includes: mental health support, financial wellbeing, counselling, discounts at multiple retailers, electric car schemes, nursery/childcare salary sacrifice schemes, etc.
• Reasonable adjustments will be made for employees with disabilities or specific needs.

5. Monitoring and Review
• Quarterly internal audits will be undertaken.
• The Health & Safety Lead will report performance indicators to the CEO.
• This policy will be reviewed annually, or after major incidents, changes in operations, or legal updates.

6. Communication
This policy will be:
• Displayed at all managed sites.
• Made available to all employees, residents, and contractors.
• Included in contractor and resident induction packs.
